Sponsor Ethics Charter – European Hotel Awards

By signing the Sponsorship Order Form, each Sponsor agrees to the following principles of conduct, designed to preserve the prestige, elegance, and smooth progress of the European Hotel Awards. The aim is not only to protect the Event’s reputation but also to ensure that each Sponsor derives maximum benefit from a well-framed and harmonious experience.

General Principles

  • Sponsorship is a framework for visibility, communication, and institutional support to the European hospitality industry. It does not grant any rights regarding the organization of the Event or the selection of award winners.
  • Sponsors undertake to act with professionalism, discretion, and mutual respect towards the Organizer, the host hotel, other Sponsors, laureates, and all participants.
  • All communication and visibility rights are strictly limited to the package subscribed to and confirmed in the Sponsorship Order Form.

Before, During & After the Event

  • All communications, press releases, or use of logos must follow the official guidelines and Media Center resources provided by the Organizer.
  • Speaking on stage, distributing promotional material, or presenting products at the Event is permitted only where expressly included in the signed sponsorship package.
  • Sponsors must avoid communications that could suggest exclusivity, levels of partnership, or rights beyond those contractually agreed.
  • Respect for the Event’s atmosphere and image is essential; all actions should contribute positively to the prestige of the Awards.

Hotel Coordination

The Organizer will connect Sponsors directly with the designated hotel contacts (such as the F&B Manager or Event Manager) to facilitate the preparation of any approved products, services, or visibility. For transparency and smooth support, all email exchanges must include the Organizer in copy (CC). This ensures efficiency and allows the Organizer to assist or intervene if needed.

Any products, gifts, or F&B items intended for use at the Event require prior approval from both the Organizer and the hotel, and must comply with local safety, health, and licensing regulations.

Business Opportunities with the Host Hotel

The Organizer acknowledges that the host hotel may represent a valuable potential client or partner for Sponsors. Such opportunities are welcome, provided that discussions remain professional, transparent, and respectful of the Event framework. The Organizer must be kept in copy (CC) on communications to ensure clarity and alignment.

Sanctions & Case-by-Case Measures

In the unlikely event of non-compliance with this Charter, the Organizer may take proportionate measures, which could include the withdrawal of unauthorized visibility, limitation of access, or exclusion from future editions. These measures are applied without reimbursement of sums already paid, and the Organizer may seek compensation for any proven damages.

Should inappropriate behavior occur during the Event — whether intentional (e.g., disparaging remarks, disruption) or unintentional (e.g., excessive enthusiasm or alcohol consumption) — the Organizer reserves the right to intervene discretely and on a case-by-case basis, always with the objective of protecting the Event’s prestige and ensuring the comfort of all participants. Where necessary, the hotel’s security services may be involved to guarantee the Event’s smooth continuation.

This Charter reflects the spirit of the European Hotel Awards: respectful, elegant, and collaborative. By adhering to it, Sponsors actively contribute to the success and prestige of the Event.
